Open position: Administrative Assistant
Iowa Citizens for Community Improvement is looking to hire an Administrative Assistant to join our staff team. It’s a non-exempt, hourly wage position that will work at the CCI statewide headquarters at least three days a week. Regularly scheduled at least 20 hours/week. The job tasks and responsibilities are summarized below.
About Iowa Citizens for Community Improvement
Founded in 1975, Iowa CCI is a statewide, grassroots community organization that addresses social, economic and environmental issues. Our 2,600+ dues-paying members across the state believe in getting things done and winning policies to put people before profits and communities before corporations. Our main organizing campaigns focus on farming and the environment, racial justice, using public money for the public good, healthcare for all, climate justice/clean energy and changing business-as-usual politics (movement politics).
Overview of the Administrative Assistant Position:
The Administrative Assistant hired will work with their direct supervisor and broader CCI staff to carry out essential tasks that support our office working environment.
The position uses Microsoft Word and Excel daily to execute core tasks.
This position requires the ability to prioritize, track and follow through on many vital office components.
Primary Responsibilities of the Administrative Assistant Position:
· Perform ongoing tasks/activities related to:
o Communication: Professionally answering calls and inquiries, directing calls, taking messages, responding to emails, greeting clients/visitors.
o Supply and Equipment Management: Monitoring inventory, ordering office supplies, managing equipment maintenance (copiers, printers, phones, laptops), and working directly with IT support/vendors. Disposing of outdated equipment and shredding office documents as needed and other tasks that ensure the efficient operation of the office, as identified by management staff.
o Building Maintenance & Improvements: work with management staff on building and property issues and maintaining office organized and running efficiently.
o Data Management: Entering data, maintaining databases, and updating spreadsheets.
o Administrative Support: Assisting colleagues with tasks; handling mailings, post office pickups and drop offs; arranging organizational travel, meals & accommodation needs; scheduling meetings; and drafting documents such as invoices, receipts, as needed. Generally ensuring that office operational needs are taken care of, whether temporarily or on a long-term basis
o Bookkeeping tasks: Making regular bank deposits (at least twice a month, sometimes more often), tracking employee PTO hours, and assisting with annual audit and tax reports as needed. Regularly using Microsoft Excel for organizational and bookkeeping needs. Handling petty cash, checks, electronic payments, following our procedures. Storing property in the safe, arranging travel, meals, and handling other financial-or asset-related tasks within budgetary expectations and in an accurate and compliant manner.
Characteristics/Qualities for the job:
· Excellent computer skills; knowledgeable with Excel and Microsoft Word
· Excellent math skills, critical thinking skills, and problem- solving skills
· Detail oriented, deadline oriented- with excellent planning skills and follow through
· Punctual and prepared for meetings and other commitments
· Eager to support and help other CCI staff members
· Ability to think ahead and be proactive about addressing potential problems, before they become problems
· Ability to prioritize job responsibilities and juggle multiple tasks at the same time
· Works well under pressure
· Able to communicate clearly and directly both internally and externally.
· Able to talk to lots of people and equally comfortable on the phone, Zoom, and in person
· Driven by goals and follow through on tasks and other commitments.
· Knows when to ask questions and get input or help
· Receptive to feedback and a team player
· Honest and brings mistakes to supervisor’s attention as soon as possible
· Able to regularly handle deliveries, which may include lifting/pushing boxes of paper, loading vehicles, or other
· Creative and willing to try new things
Wage & Benefits:
· Wage is $21.27/hour
